At Xai Robotics, the parent experience matters.

Families do not simply join a program. They enter an institution with real standards, real systems, and real expectations. That means communication must be warm, clear, and professional. It also means policies must be upheld consistently.

We are hiring a Community Coordinator to help lead that work.

This is a people facing operations role. You will be one of the main points of contact for families and prospective families, helping them understand our programs, navigate enrollment, follow policies, and experience Xai Robotics as the serious and well run institution it is.

What this role is really about

This role sits at the intersection of hospitality, discipline, and execution.

You will return calls, follow up with interested families, help keep schedules running correctly, support front desk operations, and ensure that parents understand and respect the policies that protect the lab experience for everyone.

This is not a passive receptionist role.

You are helping maintain order, clarity, warmth, and trust across the organization. The best person in this role can be gracious without being soft, organized without being robotic, and firm without creating friction.

Core responsibilities

Family communication and enrollment support

  • Return calls and respond to inquiries from prospective families

  • Follow up with parents who have expressed interest and help move conversations toward enrollment

  • Communicate clearly about programs, schedules, expectations, and next steps

  • Close loops quickly and professionally so no serious lead goes cold through neglect

Policy enforcement and parent coordination

  • Help families follow scheduling, pickup, attendance, and membership expectations

  • Communicate late pickup policies and other important boundaries with warmth and clarity

  • Address parent issues professionally while protecting the integrity of the lab experience

  • Reinforce standards consistently so that one family’s exception does not become everyone’s problem

Operational support

  • Help maintain accurate records, schedules, and day to day coordination

  • Support internal organization across supplies, logistics, and administrative workflows

  • Handle procurement for office and operational supplies

  • Keep communication and routine systems moving so the team can execute well

  • Strong communication skills, especially with parents and prospective clients

  • Warmth, professionalism, and good judgment under pressure

  • Ability to enforce policies clearly without sounding defensive or harsh

  • Strong organizational habits and follow through

  • Comfort handling calls, scheduling details, parent questions, and administrative tasks in a fast moving environment

  • Onsite reliability and a high sense of ownership
